Job Description
The back office executive is the company's main operational engine, giving front-facing departments the crucial administrative and logistical support they need. Managing the "behind-the-scenes" operations that keep the company functioning properly, such as data management, documentation, and process coordination, is part of your job. You make sure that files are arranged, internal records are correct, and administrative work is finished on time. The ideal applicant is a well-organized, meticulous professional who can manage several administrative duties without having to deal directly with customers, making sure the front-end teams have all they require to be successful.
Key Duties:
Administrative Support: To guarantee efficient operations, help different departments with document preparation, filing, and internal communication.
Database management: Ensure that
all records are up to date and readily accessible by accurately maintaining and updating internal databases.
Document Verification: Check incoming documents for errors or missing information by comparing them to the company's standards.
Order and Inventory Tracking: Keep an eye on and handle customer orders or internal requisitions, following their development from start to finish.
Compile daily, weekly, or monthly operating reports for management using internal ERP systems or Microsoft Excel.
Compliance & Archiving: Verify that all digital and physical documents are safely stored and adhere to the organization's data retention guidelines.
Correspondence management includes managing the administrative side of vendor or customer interactions, handling internal mail, and distributing memoranda between offices.
