Job Description
The chief coordinator in charge of ensuring the office runs smoothly and effectively on a daily basis is the administrative executive. This position includes overseeing office personnel, managing vendor relations, managing facility upkeep, and making sure all administrative systems are operating at maximum efficiency. As the main point of contact for both internal staff and outside guests, you will strike a balance between urgent operational requirements and high-level organizational tasks. The ideal applicant is a multitasking pro with a "hospitality first" mentality, excellent problem-solving abilities, and a proactive attitude to upholding a professional work environment.
Responsibilities
Facility management is in charge of maintaining the office space, including general equipment maintenance, cleaning services, and repairs.
Vendor & Contract Management: To guarantee affordable and superior services, find, bargain, and maintain connections with outside providers.
Front Office & Guest Relations: Oversee the reception area, making sure that incoming calls, guest registrations, and mail distribution are handled
professionally.
Procurement & Inventory: Manage the purchase order process from requisition to delivery, keeping an ideal stock of consumables and office supplies.
trip & Logistics: Arrange for employees' trip, including scheduling flights, lodging, and local transportation.
Compliance & Safety: Maintain first aid supplies, oversee fire safety exercises, and make sure the office complies with health and safety requirements.
Asset Management: Keep a thorough inventory of the company's assets and supervise their distribution and upkeep.
Skills:
Organizational excellence: capacity to manage intricate schedules and prioritize numerous requests without supervision.
Negotiation Skills: Demonstrated capacity to oversee finances and bargain for advantageous conditions with service providers.
Communication: Expert written and verbal communication abilities for dealing with management at all levels.
Tech Savvy: Knowledge of Microsoft Office (Word, Excel, and Outlook) and a rudimentary understanding of HRIS or administrative portals.
