Job Description
The administrative executive serves as the office's brain center and is in charge of making sure that everything runs smoothly, effectively, and safely every day. Your main goal is to oversee internal facilities, vendor connections, and office infrastructure so that staff members may concentrate on their main tasks without interruption. You are the "problem solver" for everything pertaining to the facility, including security procedures, pantry management, and seating arrangements. The ideal applicant is a well-organized multitasker who can remain composed under pressure and has a service-oriented approach.

Responsibilities
Facility Management: Keep an eye on the maintenance of office buildings, including general repairs, lighting, HVAC, and cleaning, to guarantee a secure and polished setting.
Vendor & Procurement Management: Locate and oversee connections with outside suppliers (security, catering, couriers, and stationary) and negotiate agreements for reasonably priced services.
Inventory control: Make sure there are never any shortages of necessary supplies by keeping an eye on and maintaining

supply of equipment, office supplies, and pantry products.
Security & Safety Compliance: Oversee CCTV surveillance, access control systems, and fire safety exercises to guarantee the safety of firm property and employees.
Travel & Expense Coordination: Manage reservations for flights, hotels, and local transportation for staff members and visitors while making sure that the company's travel guidelines are followed.
Front Desk & Guest Relations: Manage the front desk, making sure guests are greeted professionally and that incoming phones and mail are handled quickly.

Skills:
The capacity to multitask while maintaining a high degree of precision.
Negotiation Skills: The ability to work with contractors and suppliers to get the greatest prices and quality of service.
Tech-savvy: Able to use Microsoft Office (Word, Excel) and possess a basic understanding of ticketing or office management software.
Communication Skills: Effective written and vocal communication for dealing with management, staff, and outside partners.
