As the backbone of the office, the administrative executive is in charge of making sure that daily operations are conducted effectively, professionally, and without hiccups. From organizing internal events and executive schedules to maintaining office infrastructure and vendor connections, your work encompasses a wide range of responsibilities. You serve as the main liaison between staff members and outside guests, guaranteeing a dynamic workplace. The ideal applicant is a multitasking pro with outstanding organizational abilities, a proactive outlook, and the capacity to remain composed under pressure in a hectic work environment.
Key Duties
Facility Management: Keep an eye on the upkeep and cleanliness of the office space, making sure that all furniture, equipment, and utilities are in top operating
order.
Management of Vendors and Procurement: Find and maintain connections with outside suppliers and oversee the economical acquisition of office supplies.
Front Desk and Visitor Management: Handle incoming calls and mail distribution with a high level of professionalism, as well as oversee the reception area and greet guests.
Travel and Logistics Coordination: Plan senior management's and staff's travel schedules, hotel reservations, and transportation.
Event & Meeting Planning: Arrange rooms, caterers, and technical setup for internal meetings, business gatherings, and festivities.
Documentation & Record Keeping: Keep employee, contract, and business records in an orderly file system while maintaining data privacy.
